Payment, Cancellation & Refund Policy
1. Scope and Relationship to Other Documents
1.1 This Policy applies to all travel bookings and arrangements made by travel advisors, agencies, tour operators, and event planners (the "Partner") with DMC Turquia LLC (the "Company") for travel services in Turkey, and serves as an integral part of the B2B Travel Service Agreement between both parties.
1.2 If this Policy conflicts with the core B2B Travel Service Agreement, the provisions of the Agreement shall prevail. Where a specific written quotation or Confirmed Booking specifies alternative terms for a particular arrangement (such as a private yacht charter, destination wedding venue, or corporate event), those dedicated terms will apply to that specific service instead of this general Policy.
2. Payment Framework
2.1 Deposits:
2.2 Final Payment: The remaining balance is due 30 days before the scheduled arrival date for both FIT and group bookings. If the balance is not received by the due date, the Company will send a friendly written reminder. If payment is not completed within 3 business days following the reminder, the Company may proceed to release the bookings, and the cancellation framework outlined in Section 3 will apply based on the date of release.
2.3 Last-Minute Bookings: For bookings requested 15 days or fewer prior to arrival, a 100% full payment is requested upon confirmation. If the Company cannot deliver the confirmed services due to sudden supplier unavailability, it will prioritize offering a comparable luxury alternative. If an alternative cannot be arranged, a full refund for the unperformed portion will be processed in cash or, if the Partner prefers, issued as an open-date credit.
2.4 Payment Methods: Payments are welcomed securely through the Company's official corporate payment gateway on dmcturquiallc.com (integrated with Stripe and Airwallex), by major credit card, or via bank wire transfer to the institutional accounts displayed on the official invoice. The Company processes all transactions through its verified corporate billing accounts. Before initiating a wire transfer, please confirm any updated banking details with our team by phone or via a verified corporate email address.
2.5 Currency and Pricing: All rates are quoted in USD or EUR as specified in the invoice and are net and non-commissionable. Prior to receiving the final payment, prices may be adjusted in the event of extreme currency fluctuations or supplier price changes, with immediate written notification sent to the Partner. Once full payment is completed, the pricing remains guaranteed, with exceptions limited only to new government taxes, heritage site fees, or regulatory levies passed on at cost. Each party covers its own respective banking and transfer transaction fees.
3. Cancellation Protocol
3.1 Cancellations are accepted in writing via email to support@dmcturquiallc.com. A cancellation officially takes effect on the date and time the email notification is successfully received by our support team. Days are counted consecutively before the scheduled arrival date of the first service in the booking.
3.2 Cancellation fees are handled as a percentage of the total package price:
3.3 Group Bookings: The cancellation schedule for group bookings is detailed in each customized group contract, reflecting the specific cancellation terms of the involved hotels, yachts, and special venues. Group terms are governed by their respective contracts and may differ from Section 3.2.
3.4 Partial Cancellation: If part of an itinerary is cancelled (such as a reduction in headcount or a specific daily service), the percentages in Section 3.2 apply to the cancelled portion. The Company will re-evaluate the pricing for the remaining itinerary if the change alters the group volume, transport logistics, or room-sharing dynamics.
3.5 Deposits and Non-Payment: Deposits are advanced to local suppliers to secure blocks and are credited against the applicable cancellation fee on the date of cancellation. Any remaining balance paid beyond the required fee will be promptly refunded to the Partner.
4. Service Adjustments by the Company
4.1 If the Company needs to cancel a confirmed booking due to reasons outside the Force Majeure events outlined in Section 7, the Partner will receive a full 100% refund of all amounts paid for the affected services, or an open credit for future travel arrangements based on their preference.
4.2 In cases where a cancellation arises from the Company's direct operational fault, the Company will reimburse the Partner's documented, reasonable, and unavoidable out-of-pocket costs resulting from it, up to the liability limits established in the B2B Travel Service Agreement. The Company is not responsible for secondary guest travel expenses, such as independent international airfares, visa processing fees, or personal travel insurance.
5. Changes and Modifications
5.1 Modifications to dates, itineraries, services, or traveler names are subject to availability and the policies of independent local suppliers. The Company will provide the Partner with a clear breakdown of any operational fare differences before executing the modification.
5.2 Changes requested 14 days or fewer before arrival may carry a standard administrative fee of up to USD 50 per booking, alongside any direct operational costs applied by suppliers.
5.3 Name changes on domestic airline, rail, or premium event tickets are governed by carrier rules and may not always be operationally feasible.
5.4 If the Company must alter a confirmed service due to an unexpected supplier issue, it will inform the Partner immediately and present a luxury alternative of a comparable or superior standard. If a modification reduces the value of the service, a proportional refund will be applied.
6. Supplier Policies, Credits, and Vouchers
6.1 High-end arrangements, including non-refundable premium air tickets, hot-air balloon flights, private yacht charters, and exclusive destination wedding venues, are subject to the specific terms set by independent local suppliers, which will be detailed in the B2B quotation. Any non-refundable costs applied by suppliers will be deducted from refunds and fully documented on request.
6.2 Open-Date Credits or Vouchers: Vouchers are issued where this Policy allows a choice between a refund and a credit, or by mutual written agreement. Approved credits remain valid for 24 months from the official date of issue and are non-transferable.
7. Force Majeure
7.1 Neither the Company nor the Partner shall be held responsible for cancellations, delays, or non-performance caused by events completely beyond their reasonable control, including natural disasters, military actions, acts of terrorism, civil unrest, epidemics, pandemics, government travel bans, unexpected airspace closures, strikes, and sudden regional security emergencies.
7.2 If a travel program cannot be performed due to a Force Majeure event, the Partner may select a full refund or an open-date credit, less only the non-recoverable deposits and direct costs actually incurred or charged by local independent suppliers, which the Company will document on request.
8. Travel Insurance
Each traveling guest is highly encouraged to hold comprehensive international travel insurance covering medical emergencies, trip cancellation, trip interruption, and baggage loss. The Partner agrees to promote traveler compliance, and the Company assumes no liability for losses that standard travel insurance would cover.
9. Refund Process
9.1 Approved refunds are processed efficiently within 30 days of the Company's formal confirmation, returned to the original corporate payer via the original payment method.
9.2 Once executed by our team, refunds typically reflect on the Partner’s corporate banking statement within 5 to 10 business days, depending on the processing speed of the financial institutions involved.
9.3 Refunds are issued in the currency of the original payment (normally USD or EUR). The Company is not responsible for standard exchange-rate fluctuations or foreign transaction fees applied by the partner's financial institution.
10. Unused Services
Once ground travel operations have successfully commenced in Turkey, refunds or credits cannot be provided for unused travel services, no-shows, missed hotel nights, or voluntarily shortened tours. Exceptions apply only if the services were not provided as confirmed due to the operational fault of the Company or its suppliers, or if a supplier provides a direct refund for the unused portion, which will be passed on to the Partner.
11. Cooperative Payment Resolutions
If the Partner notes a dispute regarding an invoiced charge, it agrees to notify the Company in writing at support@dmcturquiallc.com so both parties can review the details in good faith. To the extent permitted by law, initiating a payment reversal (chargeback) for travel services that were successfully performed, or for cancellations fully governed by this Policy, before completing this collaborative review process shall be treated as an operational breach of our standard B2B Travel Service Agreement.
12. Governing Law & Amicable Resolution
12.1 This Policy, our global billing operations, and the overall B2B Travel Service Agreement are governed by, and construed in accordance with, the commercial laws of the State of Wyoming, USA.
12.2 The Parties agree to resolve any disputes, claims, or controversies arising from this Agreement or the ground operations in Turkey through good-faith negotiations first. If a mutual resolution cannot be reached within 30 days, the dispute shall be submitted to the exclusive jurisdiction of the competent courts in Wyoming, USA. Local ground operations on site remain subject to the safety, service, and regulatory standards established by the Republic of Turkey’s tourism legislation.
